Rapidely's Workflow Management tool is structured to streamline the content creation process, and it accommodates various stages of content development, from ideation to publication.
Click on the settings icon in the left menu
Click on Internal Worfkflow
Setting up your ideal workflow ensures that your processes are streamlined and effective. By carefully planning and configuring each step, you can improve team collaboration and client communication. This section will guide you through the necessary steps to customize your workflow according to your specific needs, making project management easier and more efficient.
Click on the "Add Step" button.
Choose a "Step Type"
"Internal" for tasks handled within your team (e.g., Writing, Design, Final Review).
"Client idea validation" to get client approval on post ideas.
"Client post validation" to get final approval on completed posts.
Fill out and select the options for the step
For "Internal" steps, you can assign a "Step owner", a team member responsible for the task. They'll receive email and in app notifications when a task is dropped on their step. In Description/notes, add clear instructions and context for the assigned team member.
For "Client Idea Approval" steps, choose the next step the content should move to after client approval. One the client has approved an idea, the post will automatically move to the next step in the workflow.
For "Client Post Approval" steps, choose the next action the system should do after client approval. The options are:
Move to an Internal step: choose this if the post needs more work before it's ready to be posted. The post will automatically move to the designated internal step.
Mark as ready to post: the post status will change to "Ready to Post". You can then manually schedule and publish the content on the relevant platform.
Schedule the post: choose this if you want the post to be automatically scheduled for publishing. The post will appear in the Scheduled step until the system automatically publishes the post at the scheduled time.
Simply drag and drop steps to reorder them within your workflow.
